Free Custom Domain Email: 5 Options and Their Real Limits

TL;DR: You can get email at you@yourcompany.com for free, but almost every free option is forwarding, not hosting. Forwarding receives mail; it does not give you a real mailbox. You can reply from your domain for free with a DIY setup (forwarding plus Gmail plus a free sending relay), but it costs you in setup, deliverability and fragility. ImprovMX and Cloudflare Email Routing are genuinely good if you only need to receive. If you need to send reliably, store mail, or add people, free runs out fast.

There is a lot of confusion in this corner of the internet, mostly because two very different things get called the same name.

Email forwarding takes mail sent to you@yourcompany.com and drops it into an inbox you already own, usually Gmail. You do not get a mailbox. You are borrowing one.

Email hosting gives you an actual mailbox on your domain, with storage, IMAP access, and the ability to send as yourself.

Most "free custom domain email" results are the first kind. That is not a scam, and for a lot of people it is the correct answer. But it explains why so many people set it up, feel like it worked, and then hit a wall three weeks later when they try to reply to a customer.

The options compared

ImprovMXForwarding1 domain, 25 aliasesPaid tier, or DIY relayA single contact address

Two things to notice. Only Zoho offers a genuinely free mailbox with a custom domain. It covers up to five users on one domain, but with no IMAP, POP or ActiveSync, so no Outlook, no Apple Mail, and no third-party phone mail app; you use Zoho's own web and mobile apps. Zoho also offers the free plan only in select data centers, so it may not be available where you sign up. And the two best-known free options, Cloudflare and ImprovMX, cannot send on their own free tiers. Replying from your domain takes the DIY setup below.

When free is genuinely the right answer

I would rather you use a free tool that fits than pay us for something you do not need. Free forwarding is the correct choice when:

  • You need one address, not a mailbox. hello@ or contact@ on a portfolio or landing page, forwarded to the Gmail you already read.
  • You only need to receive. Nobody expects a reply from that address, or you are fine replying from your personal one.
  • The domain is parked. You bought it for later and just want anything sent there to reach you.
  • It is a side project. No customers, no invoices, no revenue riding on it.

For those cases, Cloudflare Email Routing is the one I would pick. It is free with no alias limit, and if your domain already uses Cloudflare for DNS, setup is about four clicks.

The free DIY route: forwarding + Gmail + a relay

Yes, you can reply from your domain for $0. Most free tutorials use the same recipe:

  1. Forward your domain's mail to Gmail with Cloudflare Email Routing or ImprovMX.
  2. Sign up for a free transactional email relay (Brevo, Mailjet and Mailgun all have free plans).
  3. Add the relay's DNS records to your domain.
  4. In Gmail, go to Settings → Accounts → "Send mail as", add your domain address, and enter the relay's SMTP details.
  5. Pick that address in Gmail's From field when you reply.

It works. Here is what it costs you:

  • Merging two SPF records into one. The forwarder and the relay each want an SPF record, but a domain can only have one. You have to combine them by hand. Get it wrong and both receiving checks and sending start failing.
  • Daily sending limits. Free relay plans cap how many emails you can send per day. Hit the cap on a busy day and the rest of your replies don't go out.
  • DKIM signed by the relay, not your domain. Unless you add the relay's DKIM record and it aligns with your domain, your mail is signed with the relay's domain and fails DMARC alignment. Even when it's set up, the signing key lives in someone else's account.
  • A separate Gmail account for each person. Every person who needs to send has to run their own Gmail with their own relay setup. It doesn't become a team system.
  • Silent breakage. Five moving parts belong to three companies. When one changes (an app password revoked, a relay account paused for inactivity, an SPF record edited), mail stops sending or starts landing in spam, and nothing tells you.

For a side project, that trade can be fine. For a business sending invoices and quotes, it's a lot of hidden risk to save $1–$2 a month.

Where free stops working

Free breaks at fairly predictable points, and it usually breaks at the worst time.

The moment you need to reply. This is the big one. With plain forwarding, hitting reply sends from your personal Gmail, so the customer sees yourname@gmail.com. The professional address you set up is invisible in the exchange that matters most. The only free fix is the DIY relay setup above, with all of its costs.

The moment a second person needs an address. Forwarding aliases are cheap to add, but they all land in one person's inbox. Two people cannot each have a real mailbox. Zoho Free allows up to five, but only in Zoho's own apps.

The moment deliverability matters. Forwarding can weaken SPF alignment, because the receiving server sees mail arriving from the forwarder rather than the original sender. SRS handles most of this, but you are adding a hop, and you do not control DKIM signing on mail you send from a borrowed inbox. If you are sending invoices or outreach, that is a real risk.

The moment you need the mail to be yours. Forwarded mail lives in someone else's account. If that Gmail is disabled or the person leaves, the history goes with them. There is no mailbox to hand over.

The moment you leave. Free mailbox tiers rarely include migration. Zoho Free has no IMAP, so getting years of mail out is genuinely awkward.

The honest cost comparison

The gap between free and paid here is smaller than most people assume.

SetupCost/monthReal mailboxSend as your domainMultiple users
Cloudflare Routing$0NoNoNo
ImprovMX free$0NoNoNo
Forwarding + Gmail + free relay (DIY)$0NoYes, with the caveats aboveEach person needs their own Gmail
Zoho Free$0YesYesUp to 5 (Zoho apps only)
ImprovMX paid$9NoYesNo
MailAfiniti$2YesYesYes

The ImprovMX paid row is the one worth sitting with. Paying $9/month for forwarding that still is not a mailbox costs more than several real hosting plans. If you have reached the point where free forwarding no longer works, upgrading the forwarder is usually the worst available move. Go to a real mailbox instead.

How to decide

A short version:

  • Receiving only, one address, no revenue attached? Cloudflare Email Routing. Free, and it will keep working.
  • Solo side project, need to reply, comfortable with DNS? The DIY forwarding + Gmail + relay route.
  • Up to five people, need to send, fine with Zoho's own apps? Zoho Mail Forever Free, if it's offered in your region.
  • Need to send, or a second person, or mail you own? You need hosting. That starts around $1–$2/user/month across the market.

If you land in that third group, we cover the paid options in detail, including renewal prices, which is where most cheap plans quietly get expensive.

FAQ

Is free custom domain email actually free?

Yes, but usually only for forwarding. Cloudflare Email Routing and ImprovMX's free tier let you receive mail at your domain at no cost, with no trial period. What is not free is sending from that address, which needs a paid tier or a real mailbox.

What is the difference between email forwarding and email hosting?

Forwarding redirects mail sent to your domain into an inbox you already have, like Gmail. You get no mailbox and no storage. Hosting gives you an actual mailbox on your domain, with storage, IMAP or POP access, and the ability to send as your own address.

Can I reply from my custom domain for free?

Yes, with a DIY setup. Cloudflare Email Routing and ImprovMX's free tier only receive, but you can pair either with Gmail's "Send mail as" and a free sending relay such as Brevo or Mailjet. The costs are a hand-merged SPF record, daily sending caps, DKIM that may not align with your domain, one Gmail per person, and a setup that can break without warning. Zoho's free tier can also send, for up to five users in Zoho's own apps. If replying reliably matters for your business, that is normally the point where free stops being viable.

Does email forwarding hurt deliverability?

It can. Forwarding adds a hop, which can break SPF alignment unless the forwarder implements SRS. More importantly, when you reply from a borrowed inbox you do not control DKIM signing for your domain. For sending invoices or outreach, a real mailbox with your own SPF, DKIM and DMARC records is more reliable.

Is Zoho Mail free forever?

Zoho's Forever Free plan supports up to five users on one custom domain, with 5 GB per user, at no cost. The main limits are no IMAP, POP or ActiveSync access, so you cannot use Outlook, Apple Mail, or a third-party phone mail app; you use Zoho's own web and mobile apps. Zoho also offers the free plan only in select data centers, so it may not be available in your region.

What happens to my email if I stop using a free service?

With forwarding, nothing is stored, so there is nothing to lose but also nothing to take with you. With free mailbox tiers, getting mail out can be difficult. Zoho Free has no IMAP, which is the standard way to migrate mail, so plan an exit before you accumulate years of history.
