Refund Policy

1. Overview & Our Commitment

MailAfiniti ("we," "us," or "our") is committed to delivering reliable, high-quality business email hosting. This Refund Policy sets out the circumstances under which we will issue refunds, the procedures for requesting them, and the timelines you can expect.

This policy applies to all MailAfiniti subscription plans (Starter, Professional, and Enterprise) purchased directly through mailafiniti.com. If you purchased through a third-party reseller, the refund terms of that reseller govern.

This policy does not limit any statutory rights you may have under the laws of your jurisdiction. Where applicable law grants you rights broader than those described here, those statutory rights prevail. See Section 11 for jurisdiction-specific information.

2. Free Trial Period

All plans include a 14-day free trial with no credit card required. During the trial period:

  • You have full access to all features of your chosen plan.
  • No credit card is required, and no charge is applied.
  • You may cancel at any time before the trial ends at no cost.
  • You will receive email reminders 3 days before your trial expires.
  • A dashboard popup will notify you 1 day before expiration.
  • If you do not cancel before the trial ends, your subscription automatically converts to a paid plan at the date of conversion.
  • Upon conversion, your payment method on file will be charged for the first billing period.
  • Access limitations: After trial expiration without payment method, your dashboard access becomes limited, created email accounts stop working, and data access may be restricted.

No refund is necessary for trial cancellations because you are never charged during the trial. The 30-day money-back guarantee (Section 3) applies only from the date of your first paid charge after trial conversion.

3. 30-Day Money-Back Guarantee

We offer a 30-day money-back guarantee on your first paid subscription charge. If you are not satisfied with MailAfiniti for any reason within 30 calendar days of your first paid charge, we will issue a refund — no questions asked. Please note that a 5% payment gateway service charge is deducted from all refunds to cover non-recoverable processing fees charged to us by the payment provider.

Refund window

The 30-day guarantee begins on the date of your first paid charge. Refund requests must be submitted within 30 calendar days of that date.

Refund amount — 5% gateway fee deducted

All refunds are subject to a 5% payment gateway service charge deduction. This fee is charged to us by the payment processor and is non-recoverable. For example, if you paid $100, you will receive a refund of $95. This deduction applies to all refunds regardless of reason.

No reason required

You are not required to provide a reason to qualify for a refund. We welcome feedback, but it is entirely optional.

One claim per customer

The money-back guarantee applies to the first paid charge per customer. It may be exercised once per account.

Service usage voids eligibility

Accounts that have sent or received emails, or actively used any core service feature, are considered to have consumed the service. Such accounts are not eligible for a refund under this guarantee, regardless of the reason for the request.

Trial cancellations

Cancellations during the 14-day free trial require no refund because no charge was ever made.

4. Refund Eligibility

To receive a refund under the 30-day guarantee, the following must apply:

  • The request is made within 30 calendar days of your first paid charge.
  • The subscription was purchased directly through mailafiniti.com.
  • You have not previously received a refund under this guarantee.

Refund requests submitted after 30 days, for subscriptions purchased via a third-party reseller, or where a chargeback is already in progress for the same charge are outside the scope of this policy.

Service Usage Exclusion

Accounts that have sent or received emails, or otherwise actively used core service features, are considered to have consumed the service. Refund requests from accounts with confirmed service usage are not eligible under the 30-day money-back guarantee and will be denied. By completing your purchase, you acknowledged and agreed to these terms via the checkout disclosure.

5. How to Request a Refund

Trial cancellations (before first charge): Simply cancel your trial in the dashboard. No refund is necessary as no charge was made.

Refund requests (after first paid charge): Email our billing team within 30 calendar days of your first paid charge and we will process your full refund.

    Send an email to billing@mailafiniti.com with the subject line "Refund Request: [your account email]". Include your account email address and the invoice number or charge date. Feedback on your experience is welcome but not required.

    We confirm receipt

    We will acknowledge your request within 1 business day and confirm it qualifies under the 30-day guarantee.

    Refund processed

    Once confirmed, the refund is processed to your original payment method within 7–10 working days. A 5% payment gateway service charge is deducted from the refunded amount. You will receive a confirmation email when the refund is issued.

6. Processing Timelines

Once a refund is approved, please allow 7–10 working days for the refund to be processed and reflected in your account. Actual timelines vary by payment method:

Payment gateway service charge: A non-refundable 5% payment gateway service charge is deducted from all refunds. This fee is levied by the payment processor on every transaction and cannot be recovered by MailAfiniti. The net refund amount will be 95% of the original charge.

Refunds are returned to the original payment method used for the purchase. We are not able to redirect refunds to a different card, bank account, or payment method. Currency conversion differences due to exchange rate fluctuations between the date of purchase and the date of refund are outside our control and are not compensated.

7. Suspension & Termination

MailAfiniti reserves the right to suspend or terminate any subscription immediately, without notice, and without refund for any of the following reasons:

Policy violations

If MailAfiniti reasonably believes your account is being used in violation of the Terms of Service, Acceptable Use Policy, or applicable law (including but not limited to spam, phishing, malware, fraud, or harassment).

Non-cooperation with investigation

If you fail to cooperate with MailAfiniti's reasonable investigation of suspected policy violations or security incidents.

Security threats

If there is an attack on your systems or if MailAfiniti reasonably believes your account poses a risk to the MailAfiniti network or other customers.

Legal requirement

If MailAfiniti is required by applicable law, regulatory bodies, or government action to suspend or terminate service.

Network protection

If MailAfiniti reasonably believes suspension is necessary to protect the MailAfiniti network, infrastructure, or other customers.

Note on refunds after suspension: If your account is suspended or terminated due to a policy violation, your eligibility for the 30-day money-back guarantee may be affected. Contact billing@mailafiniti.com to discuss your situation.

8. Chargebacks & Disputes

We encourage you to contact us directly before initiating a chargeback with your bank or card issuer. Most issues can be resolved quickly and amicably.

Contact us first

Email billing@mailafiniti.com or visit our Help & Support page. We aim to resolve billing disputes within 3 business days. This is faster than the typical chargeback timeline of 30–90 days.

Fraudulent chargebacks

Filing a chargeback for a charge that is covered under this refund policy without first contacting us may be considered fraud. Accounts subject to fraudulent chargebacks will be suspended immediately pending investigation, and we will provide evidence of service delivery to the card network.

Concurrent chargebacks

We cannot process a refund for a charge that is under active chargeback review. The bank or card network dispute must be resolved before we can reprocess a refund through our system.

Escalation

If you are unsatisfied with our refund decision, you may escalate to our senior billing team by emailing legal@mailafiniti.com with the subject line "Refund Escalation." We will review and respond within 5 business days.

9. Changes to This Policy

We may update this Refund Policy from time to time. When we make material changes, we will:

  • Post the updated policy at mailafiniti.com/legal/refund-policy with a revised "Last updated" date.
  • Notify account administrators by email at least 30 days before material changes take effect.
  • Display a prominent notice on your account dashboard.

Changes do not apply retroactively to charges already made before the effective date of the update. Continued use of the Services after the effective date constitutes your acceptance of the revised policy.
