Getting Started with MailAfiniti

Set up your MailAfiniti account, add your domain, and send your first business email in just a few minutes. A quick tour of the dashboard and setup workflow.

This guide gets your professional business email running in about 10 minutes, start to finish: an account, a domain, a mailbox, and a working connection to whatever app you check email in.

Here's the order we'll do it in:

  1. Create your MailAfiniti account
  2. Add your domain
  3. Get familiar with the dashboard
  4. Set up DNS records (high-level overview)
  5. Create your first email account (like info@yourdomain.com)
  6. Connect to Outlook, Apple Mail, or your mobile device
  7. Send your first email

Step 1: Sign Up & Select Your Domain

Create Your MailAfiniti Account

  1. Go to app.mailafiniti.io/signup
  2. Enter your email and create a strong password
  3. Verify your email address (check your inbox for a confirmation link)
  4. You're now logged in to your MailAfiniti dashboard

Add Your Domain

Once you're signed in:

  1. Click Manage Domains in the left sidebar
  2. Click Add New Domain
  3. Enter your domain name (e.g., yourbusiness.com or company.io)
  4. Click Add Domain

MailAfiniti will create a setup checklist for you, showing what's left to do. You'll see badges for DNS records (MX, SPF, DKIM, DMARC) and email accounts. Some will show as pending until you complete them. That's normal.

Important: You must own or have admin access to this domain at your domain registrar (GoDaddy, Namecheap, Cloudflare, etc.). If you're setting this up for a client or colleague's domain, make sure you have the credentials to access their DNS settings.


Step 2: Understand Your Dashboard

Now that your domain is added, let's take a quick tour of the main areas:

Manage Domains

This is where you see all your domains and their setup status at a glance.

  • Domain list: Shows each domain you've added
  • DNS Records badges: Quick status of your DNS setup (MX, SPF, DKIM, DMARC)
  • View DNS Records: Click here when you're ready to configure DNS
  • Email Accounts: Shows how many email accounts you've created on this domain
  • Settings: Click the three-dot menu (⋮) to manage domain settings

Email Accounts

This is where you create and manage individual email addresses for your domain (info@yourdomain.com, sales@yourdomain.com, etc.).

  • List of accounts: Shows all email addresses you've created
  • Create Account: Add a new email address
  • Details: View IMAP/SMTP settings, reset passwords, or change account settings

Settings (Account-level)

Manage your overall MailAfiniti subscription, billing, and account preferences. You'll visit this less often, but it's here when you need it.


Step 3: Understanding DNS (Brief Overview)

Before you create email accounts, your domain needs four DNS records configured: MX (where to deliver your mail), SPF (proof you're authorized to send from your domain), DKIM (proof a message really came from you), and DMARC (what to do if a message fails those checks). Without them, your emails may be rejected, delayed, or marked as spam, even though they're legitimate. MailAfiniti generates all four for you; you just copy them into your registrar.

Here's the whole loop, and it takes about 5 minutes: go to Manage Domains, find your domain, and click View DNS Records. Copy the four values shown, then log into your domain registrar (GoDaddy, Namecheap, etc.) and paste them in. Come back to MailAfiniti, click View DNS Records again, and hit Verify DNS Records. We'll check your registrar automatically, and records typically go green within 5-15 minutes, occasionally up to an hour.

Step 4: Create Your First Email Account

Once your domain is added (you don't need DNS to verify first, though it's recommended), you can create email accounts.

Add an Email Account

  1. Go to Email Accounts in the left sidebar
  2. Click Create Email Account
  3. Enter the email address you want to create:
    • Local part (before the @): e.g., info, sales, support
    • Domain: Select your domain from the dropdown
    • Full email: You'll see the complete address (e.g., info@yourbusiness.com)
  4. Click Create Account

MailAfiniti generates a temporary password for you. Save it. You'll need it to set up your email client.

What You'll Get

Each email account includes:

  • IMAP/SMTP settings: For connecting to Outlook, Apple Mail, Thunderbird, etc.
  • Password reset: Change your password anytime
  • Forwarding options: Set up email forwarding to other addresses

Step 5: Connect to Your Email Client

Now your email account is created. Let's get it working on your device.

For Outlook (Windows & Mac)

  1. Open Outlook
  2. Go to FileAdd Account
  3. Enter your email address (e.g., info@yourbusiness.com)
  4. Outlook will detect MailAfiniti's settings automatically
  5. Enter your MailAfiniti password when prompted
  6. You're done. Emails will start syncing.

For Apple Mail (Mac & iPhone)

  1. Open MailPreferences (Mac) or Settings (iPhone)
  2. Click Accounts and then Add Other Mail Account...
  3. Enter your name, email, and password
  4. If Mail asks for IMAP/SMTP settings, you can find them in MailAfiniti:
    • Go to Email Accounts → click your account → IMAP/SMTP Settings
  5. Save and you're connected

For Gmail/Yahoo/Other Web Interfaces

If you prefer to access email through a web interface:

  1. MailAfiniti is a professional email service (not web-based by default)
  2. You access email through standard clients like Outlook, Apple Mail, Thunderbird, etc.

Mobile Setup

For iPhone, iPad, and Android:

  1. Go to Email Accounts in MailAfiniti
  2. Click your account
  3. Look for Mobile Setup instructions
  4. Use the IMAP settings to add your account to the Mail app

Step 6: Send Your First Email

Now everything is connected. Let's verify it works.

Send a Test Email

  1. Open your email client (Outlook, Apple Mail, etc.)
  2. Click New Email (or New Message)
  3. To: Send an email to yourself or a colleague's address
  4. Subject: Type something like "Testing MailAfiniti"
  5. Body: Write a quick message
  6. Click Send

Within a few seconds, the email should arrive. If it does, you're all set!

Email Didn't Arrive?

If you don't see the email after a few minutes:

  1. Check spam: Sometimes test emails get caught by spam filters
  2. Check that DNS is verified: Go to Manage Domains and verify all four DNS records (MX, SPF, DKIM, DMARC) show as ✓
  3. Verify email account settings: In MailAfiniti, go to Email Accounts and confirm your account is active
  4. Try again: Wait a minute and send another test email
  5. Check your inbox: Make sure you're looking at the right folder (not archived or filtered)

Common Questions

Do I need to verify DNS before creating email accounts?

No, you can create email accounts immediately. However, verifying DNS ensures your emails reach inboxes reliably. We recommend doing it soon after adding your domain.

Can I change my email address later?

You can create new email accounts anytime. The old account remains (you can set it to forward emails or delete it).

Is my email secure?

MailAfiniti uses industry-standard encryption (SMTP TLS) and your MailAfiniti account is protected by your password. Change your password regularly and never share it.

What if I forget my password?

Go to app.mailafiniti.io/login and click Forgot password? You'll receive a reset link via email.
